JOB TITLE: Executive Administrator

REPORTS TO: Executive Artistic Director
FLSA STATUS: Non-Exempt

MISSION
Through collaborative performance and lifelong learning opportunities, people with intellectual and developmental
disabilities gain the skills and confidence to engage with the world.

Organization & Job Summary:
ArtStream is a nonprofit that provides performing arts opportunities for adults with intellectual and developmental
disabilities (IDD) in the Washington DC, Maryland and Virginia (DMV) area.

The Executive Administrator fulfills a key position reporting directly to the Executive Artistic Director. The position
coordinates various aspects of the organization and plays a vital role in the overall performance of ArtStream. This
is a hybrid position requiring some in-person meetings, workshops and attendance at ArtStream activities.

Essential Duties and Responsibilities:
Essential duties and responsibilities include, but are not limited to, the following:

• Apply the Organization’s vision, policies, and guiding principles to every facet of his/her/their
responsibilities in an effort to continually improve our operations.
• Onboard new staff and teaching artists
o Coordinate CPR trainings for Teaching Artists (TA)
o Coordinate Teaching Artists (TA) background checks
o Send out Teaching Artists (TA) contracts
• Manage registration software
o Input and track class registrations
o Track class payments and refunds
o Create, maintain, and update contact sheets for Teaching Artists
• List job postings and assist with recruiting Teaching Artists (TA) and volunteers
• Coordinate Family and Teaching Artist Town Halls
• Send out partner contracts and collect information for partner invoices
• Locate and schedule spaces for classes and rehearsals
• Coordinate Scholarships
• Be familiar and update data in all digital platforms, including Constant Contact
• Check and respond to emails and answer phones
• Generate mailing lists
• Assist with donor Thank You’s

Qualifications:
To perform this job successfully, the Executive Administrator must be able to perform the essential duties and
responsibilities listed above satisfactorily. The requirements listed below are representative of the knowledge, skills,and/or abilities required. Reasonable accommodations may be made to enable individuals with disabilities to

Education and/or Experience:
Must have completed an Associate’s Degree or higher. Must have previously demonstrated the ability to multi-task and work independently and remotely. Will be required to become proficient in the use of various donor customer-
relationship management (“CRM”) software systems and be experienced with digital tools.

Additional Knowledge, Skills, and Abilities:
• Excellent verbal and written communication skills are essential
• Ability to deal effectively with people within and outside of ArtStream
• Ability to prioritize and manage multiple projects, meet deadlines, solve problems, and make decisions under
pressure
• Knowledge of theater and nonprofits – a plus
• Must be computer literate and have working knowledge of Word and Excel
• Must be a motivated self-starter with the ability to set goals, priorities, and work with little supervision

Reasoning Ability:
Ability to problem-solve (define issues, collect and analyze data, and develop alternatives when necessary) in
response to situations involving multiple people, processes, and perceptions.
Physical Demands:
The physical demands described herein are representative of those that must be met by an employee to successfully

While performing the duties of this job, the employee is regularly required to stand, walk, sit at a desk, and use
fingers to operate a computer keyboard or calculator, reach with hands and arms for books or manuals, and talk or
hear while on the telephone or communicating with others. Specific vision abilities required by this job include close vision and ability to adjust focus.

Work Environment:
Some local travel is required.

Compensation:
Position compensation range is $20.00 to $24.00 per hour. Plus health benefits, Paid Time Off (PTO) and Sick
Leave.
